About the role

We're looking for a hands-on, proactive and people-focused Office Manager to take ownership of our on-site workplace experience in Barcelona and make sure our office runs smoothly, every single day.

You'll own the day-to-day office experience end to end; from facilities and suppliers to events, employee needs and workplace improvements. As Nuitée continues to scale, our Barcelona office plays a growing role in bringing teams together and shaping our culture, and we're looking for someone who takes real pride in creating a great place to work.

You'll work closely with the People team, as well as external suppliers and building management, to make sure the office keeps pace with the needs of a growing, increasingly international team.

This role sits at the centre of the office; ideal for someone who enjoys building relationships, solving problems on the spot, and making a visible, everyday impact on how it feels to work at Nuitée.

What you'll do

Office & facilities

Own the day-to-day running of the Nuitée office in Barcelona

Ensure the office is clean, organised, safe, and fully operational

Manage office supplies, equipment, furniture, meeting rooms, access cards and general facilities

Manage relationships with landlords and external providers

Act as the main point of contact for office-related issues and resolve them quickly

Culture & experience

Create a welcoming and productive environment for employees and visitors

Organise office events, team activities, lunches, celebrations and company initiatives

Support onboarding and offboarding from an office and facilities perspective, so new employees have everything they need from day one

Gather employee feedback and identify opportunities to improve the office experience

Suppliers & budget

Manage relationships with office suppliers and service providers

Request quotes, negotiate where appropriate, and ensure services are delivered to the expected standard

Ensure invoices and payments are correctly processed

Identify opportunities to improve efficiency and reduce unnecessary costs

People & admin support

Support HR with office-related employee processes and documentation

Maintain accurate records of office assets, access, suppliers and contracts

Support visitors, candidates and external partners when they're on site

Help coordinate company-wide initiatives and internal events

Support local HR and administrative requirements as needed

Health & safety

Ensure the office meets company and local health and safety requirements

Coordinate emergency procedures, building access and workplace safety requirements

Maintain relevant documentation and ensure issues are escalated appropriately

This role fits someone who:

Has 3+ years of experience in office management, workplace experience, facilities, administration or a similar role

Has managed an office or workplace independently

Is highly organised, with excellent attention to detail

Is proactive and comfortable taking ownership without needing constant direction

Communicates clearly and builds relationships easily

Is comfortable managing suppliers, budgets and external relationships

Has strong problem-solving skills and a hands-on approach

Can manage multiple priorities in a fast-paced, growing environment

Is positive, approachable and genuinely people-focused

Is comfortable being fully on-site and acting as the face of Nuitée in the office

Is fluent in English and Spanish
