Job Summary

The Senior Payroll Accountant owns the payroll and remuneration function for SQUAD Ukraine, covering both employment payroll and gig-contract compensation. This is a function-lead role with direct reports, where you will be accountable for the quality, accuracy, and timeliness of all payroll outputs.

We are looking for a professional with a process-owner mindset—someone who can actively implement changes, drive automation, scale processes with business growth, and adapt to complex legislative shifts. The role operates with a high degree of independence, ensuring strict compliance with internal policies and Ukrainian tax legislation, including the special tax regime for Diya City residents.

Responsibilities and Duties

Payroll & Compensation Processing:

Execute end-to-end payroll processing, including data collection, wage calculation, and distribution of electronic transfers

Oversee gig-contract compensation: review calculations, tax computations, and payment files. Retain the ability to execute the full cycle independently as a backup

Manage employee and gig-contract benefits (e.g., healthcare, voluntary deductions) and ensure reconciliation with FRA and HR Ops

Handle social benefits, including maternity leave calculations, funding from the Pension Fund, and reconciliation against company policy

Tax Compliance & Reporting:

Ensure full compliance with statutory regulations regarding payroll, taxation, and labor laws

Monitor Diya City residency criteria (compensation thresholds, headcount) and escalate risks to the Chief Accountant with corrective actions

Prepare and submit Consolidated Tax Reports (Social Contribution and Personal Income Tax) and proactively adjust to legislative changes

Reporting, Audits & Process Optimization

Maintain accurate records (employee data, tax information, timesheets, etc.)

Calculate reserves and provisions (e.g., unused vacation accruals)

Prepare payroll/compensation input for management reporting and reconcile monthly transactions in NetSuite

Act as the primary contact for internal/external audits, ensuring document integrity

Drive process improvement: identify inefficiencies, lead automation initiatives, and maintain comprehensive process documentation

Perform periodic self-assessments of internal controls

Execute additional management tasks as required to achieve company objectives

Team Leadership & Management:

Manage the payroll team: assign and prioritize work, set deadlines aligned to the payroll calendar, and monitor delivery against agreed KPIs

Review and approve all payroll and compensation outputs prepared by the team

Provide coaching, identify development needs, and conduct performance reviews in coordination with the Chief Accountant

Ensure cross-training within the team to maintain continuity during absences

Qualifications and Skills

Minimum 5 years of proven experience in Accounting and the field of payroll

Understanding of accounting principles and rules, IFRS knowledge and experience

Experience managing at least one direct report in a payroll or accounting function is required

Strong working knowledge of local regulations and policies related to payroll and HR

Knowledge and understanding of Diya City tax regime (payroll and remuneration)

Proficiency in accounting ERP systems (BAS or similar), Fredo, Vchasno, MS Office (Excel, Word), and Google Sheets

High level of accuracy, attention to detail, and data processing rigor

Strong prioritization, time-management, and proactive problem-solving skills

Adaptability and ability to respond swiftly to business needs

Effective communication and interpersonal skills suited for a cross-cultural environment

At least intermediate level of English

Nice to Have

Experience with NetSuite

Demonstrated ability to manage and develop direct reports, distribute workload, and maintain quality standards
