BambooHR is seeking a highly skilled, proactive Executive Assistant to serve as a trusted partner to our Chief Marketing Officer. This role goes well beyond traditional administrative support. We are looking for someone who understands how to create executive leverage—anticipating needs, connecting priorities, improving workflows, and ensuring the CMO is prepared to communicate clearly and make informed decisions.

The ideal candidate is an exceptional operator with strong business judgment, financial acumen, presentation skills, and curiosity about AI and emerging technology. You will help transform ideas, data, and rough inputs into executive-ready materials while keeping a complex, fast-moving organization aligned and moving forward.

Essential Job Duties

Strategic Executive Partnership

Serve as a trusted partner to the CMO, anticipating needs and proactively advancing priorities.

Develop a strong understanding of company strategy, Marketing objectives, key metrics, budgets, stakeholders, and business priorities.

Help the CMO prioritize time and attention based on business impact—not simply calendar availability.

Operate confidently in ambiguity, knowing when to act independently and when executive input is needed.

Executive Presentations and Communications

Partner with the CMO to develop Board, Executive Team, QBR, annual planning, budget, campaign, brand, and company-wide presentations.

Turn complex information and disparate inputs into clear executive narratives, insights, recommendations, and decisions.

Review materials for storyline, clarity, audience, supporting data, potential questions, and overall readiness.

Create executive summaries, slide headlines, talking points, speaker notes, briefing documents, and anticipated Q&A.

Maintain strong quality and brand consistency across executive communications.

AI and Technology Enablement

Use approved AI tools—including ChatGPT, Claude, Microsoft Copilot, and emerging technologies—to improve the quality and speed of executive work.

Convert notes and early ideas into structured drafts, presentations, communications, and briefing materials.

Summarize lengthy documents, compare information, identify patterns, pressure-test narratives, and surface gaps.

Identify opportunities to automate repeatable work and improve workflows while following company privacy and data-security requirements.

Help the CMO and Marketing organization remain curious, capable, and forward-thinking in how AI is applied.

Business and Financial Support

Build familiarity with Marketing budgets, forecasts, investments, performance metrics, and return on investment.

Support preparation for budget reviews and financial discussions by gathering information, identifying gaps, and organizing materials.

Track key commitments, decisions, deliverables, and deadlines across the Marketing organization.

Partner effectively with Finance and Marketing leaders to ensure the CMO has accurate, timely information.

Executive Operations

Strategically manage a complex calendar, balancing immediate requests with long-term priorities.

Coordinate travel, leadership meetings, planning sessions, offsites, agency engagements, and other executive events.

Own end-to-end domestic and international travel planning, including detailed itineraries, transportation, accommodations, time-zone management, contingency planning, and real-time support when plans change.

Ensure the CMO enters important meetings with the right context, materials, metrics, stakeholder information, talking points, and decisions required.

Capture decisions, action items, owners, and deadlines—and help drive consistent follow-through.

Build trusted relationships across Marketing, Sales, Product, Customer Experience, Finance, and executive leadership.

What You'll Need to Get the Job Done

Significant experience supporting a C-suite executive or senior business leader in a fast-paced organization.

Exceptional judgment, discretion, organization, and attention to detail.

Strong business acumen and the ability to understand strategy, financial information, performance metrics, and organizational priorities.

Demonstrated experience developing or improving executive-level presentations and communications.

Confidence using AI tools to synthesize information, improve workflows, and produce high-quality first drafts.

Advanced proficiency with Google Workspace or Microsoft Office, particularly presentation and spreadsheet tools.

Excellent written and verbal communication skills, with the ability to tailor information for Board, executive, employee, and external audiences.

A proactive mindset and a track record of identifying gaps, solving problems, and moving work forward without requiring constant direction.

The ability to manage competing priorities with calm, flexibility, and professionalism.
