Project Manager, Iberia (m/f/d)
As a Project Manager at Numa, you will own the delivery of property launches with a main focus on Lisbon and Porto. Projects in Spain, other parts of Portugal and potentially other regions may also come up. You will manage 4 or more launches per year with a Launch Manager. You are responsible for delivering projects on time, on budget, and on brand—ensuring every space meets our design, tech, and operational standards. You will coordinate multidisciplinary teams across all workstreams (base build, FF&E, OS&E, ICT, signage, and launch readiness), acting as the central point of accountability from technical due diligence through to signing to handover and to launch.
Projects are new developments or takeovers, depending on the annual pipeline. Most are landlord-delivered: the landlord designs, tenders and builds, and you oversee delivery against lease requirements, budget and timeline, and flag risks early. You won't produce designs. The landlord's team designs and builds, and you review and steer. You support senior leadership decisions with clear recommendations, watch quality, architecture and the base build, and act as a control point so that Numa's procedures, standards and milestones are followed.
You work in a project team, own your projects end-to-end and are expected to be autonomous within about 6 months. Travel is around 50%, mainly across Iberia, and you may be asked to travel to other cities or countries when needed.
Key Responsibilities
1. Due Diligence & Pre-Contract Phase
Carry out technical due diligence with the project team, through to a go/no-go recommendation
Evaluate technical feasibility of new properties (conversions, refurbishments, or developments) and review architectural, MEP, fire safety and ICT plans
Estimate budgets, timelines, and risk profiles for each project
Participate in lease and vendor contract reviews to ensure alignment with delivery objectives, focusing on technical and delivery clauses
Work with legal and revenue in pre-signing to reach a signing decision
2. Project Planning & Execution
Lead full-cycle project delivery, managing external partners (developers, landlords, general contractors, vendors)
Act as the main contact for landlords and their consultants and contractors, including escalations
Drive internal coordination across design, procurement, ops, revenue, legal, and tech teams
Own project scheduling and scope control using standardised PM tools (Asana, G-Suite, etc.)
Anticipate and resolve bottlenecks, scope changes, or cross-team conflicts proactively
Track financials including CAPEX budgets, change orders, and payment approvals
Ensure alignment with lease obligations and commercial handover terms
Conduct regular site visits, quality control checks, and ensure Numa standards are fully implemented
Navigate local permit and municipal processes, mainly in Lisbon and Porto, including heritage approvals, and work with the local contractor market
3. Handover (HO) & Launch Management
Develop detailed launch plans including go-live strategy, timelines, and operational ramp-up
Lead the HO process, a key part of the PM role, from technical acceptance through to launch and post-launch hypercare, in partnership with our Launch Manager
Coordinate final delivery and installation of FF&E, OS&E, signage, and other assets
Oversee snagging, quality assurance, and operational handover
Ensure all departments are aligned and ready for opening day (ops, finance, revenue, legal, tech)
4. Post-Launch & Continuous Improvement
Lead post-mortem reviews and capture lessons learned to improve future launches
Work closely with procurement and design to reduce time and cost across the project lifecycle
