Team Overview
As our Live Event Producer, you’ll own the creative vision and technical execution for a portfolio of seminars, conferences, webinars, and fundraisers, leading the crew, shaping the show, and making sure every moment serves a mission you believe in. Based at our Lansdowne office, you’ll work with a collaborative AV team and see the full life of an event, from the first planning meeting to the final strike.
Key Responsibilities
Lead the creative concept and production design for ADF’s seminars, conferences, webinars, and fundraisers, from staging and lighting to video and show flow, and see your ideas come to life on stage.
Help run the show and troubleshoot live, keeping complex, multi-day events on track from first cue to final strike.
Direct a team of AV technicians, freelancers, and vendors at assigned events, and set the standard for how events get built and run.
Work with Communications, Development, Legal, and other teams to turn their goals into compelling productions that reflect ADF’s brand and mission. You’ll be the trusted technical contact for presenters, speakers, and stakeholders, and you’ll keep the Production Manager informed of any critical issues.
Research and pilot emerging production technologies, recommend what we adopt next, and oversee our AV equipment inventory, maintenance, and upgrade plans.
Create the production schedules, run-of-show documents, technical specs, venue surveys, and logistics plans (transport, load-in/out) that keep every event running smoothly.
Build strong relationships with venues and vendors, including scheduling, contracting, and day-of coordination. Uphold safety and insurance requirements, and ensure captioning for accessibility and proper licensing for all music, video, and imagery.
Manage production budgets and contingency planning, deliver and archive post-event assets, and lead debriefs on costs, metrics, and lessons learned.
Minimum Qualifications
Bachelor's degree in media production, sound engineering, theater, communications, or other related field.
5+ years of experience in live event production, broadcast, or AV technical direction, including demonstrated experience developing creative concepts or production designs for events, not just executing them.
Knowledge of live event production principles, including staging, audio engineering, video production, lighting design, and livestreaming platforms.
Ability to direct AV technicians, freelancers, and vendors during event preparation and execution, even without formal supervisory authority.
Experience show-calling and managing run-of-show documents for complex, multi-day events.
Ability to manage multiple events and competing deadlines simultaneously, while troubleshooting technical problems quickly and calmly during live events.
Travel to and work on-site at event venues, including some evenings and weekends as events require—approximately 20% travel (85% domestic, 15% international; the ability to obtain a valid passport is required for international travel).
Preferred Qualifications
AVIXA CTS (Certified Technology Specialist) or similar industry certifications
Experience with video/film creation software and distribution platforms - Adobe Premiere, After Effects, SketchUp, On24, Zoom, Facebook Live, YouTube Live, Vimeo, ProPresenter, Dropbox, etc.
Experience with video/film equipment - Blackmagic, Canon, Panasonic, Sony, BitFire, LED lighting, C-Stands, Drones, etc.
