Role: Intermediate Project Manager

Location:  Toronto, Ontario

About the role:

You will be responsible for end-to-end workflow management within your pod. Working closely with your Business Director, you'll turn validated briefs into clear plans, keep timelines and risks visible, and make sure work progresses through each stage of production without friction.

Intake and resource allocation sit with other teams, so your focus is delivery. You'll bring structure, accuracy and good judgement to a high-volume, multi-brand environment. You'll also help embed automation and Gen AI tools into the pod's workflows. This is an individual contributor role. You'll develop by deepening your workflow expertise and your use of AI-assisted delivery.

What you will be doing:

Be responsible for day-to-day workflow management in your pod, moving projects from brief to delivery on time and to standard

Turn validated briefs into clear project plans with timelines, milestones and deliverables

Manage all work in OMG, keeping job tracking accurate, statuses current and deadlines visible

Partner with the Account Director to align on priorities and delivery expectations, identify risks early and keep momentum

Coordinate with Designers and QC Specialists to ensure smooth handoffs, prevent bottlenecks and keep every workstream clear

Monitor progress against SLAs and flag risks to timelines, scope changes and workflow disruptions as soon as they appear

Keep the pod aligned on priorities and expectations through clear, timely internal communication

Give the Account Director accurate, timely status updates to support client delivery communications

Reinforce defined workflows and processes so delivery stays consistent and system-led

Spot opportunities to improve efficiency and propose changes to pod workflows

Support the integration of automation and Gen AI tools into delivery workflows to improve speed and scalability

Make day-to-day delivery decisions within agreed workflows, and escalate scope, risk and priority changes to the Account Director

What you need to be great in this role:

Proven capability in project or delivery management, ideally in an agency or marketing environment

Skill in managing multiple projects at once and adapting when priorities change

Working on HTML/email marketing campaigns

Proficient in utilizing Monday.com project management software

Strong organisation and careful attention to detail, with a proactive approach to solving problems

Clear communication and sound judgement when working with designers, QC specialists, account teams and client-side stakeholders

Proficiency in Adobe Workfront and Microsoft 365, and comfort learning new tools and platforms

Experience working with agile or other structured project management methods

Understanding of integrated, cross-channel marketing campaigns

Familiarity with digital marketing tools, analytics platforms and client reporting

Experience integrating technologies or automation into workflows

Ability to build positive working relationships with client-side teams while maintaining a high standard of agency service

Nice to have: experience with beauty, skin care, hair care or dermatological products, and interest in science-led content

Gen AI & Agentic Thinking

Advanced use of Gen AI and automation tools to improve delivery efficiency and output quality

Experience designing AI-assisted workflows for yourself and your pod

Ability to share effective AI tool practice with colleagues

Agentic thinking for complex, multi-step delivery challenges: breaking work into clear stages and finding the most efficient path

Strong understanding of AI capabilities and limitations, with rigorous human oversight.
