About the Role

The Human Resources Generalist will report to our Senior Director of Human Resources and play a key role in supporting the full employee lifecycle. This role will be responsible for supporting the people team and the organization by implementing and administering HR programs and policies. This opportunity involves applying a mix of people and technical skills in facilitating processes across HR, payroll, benefits and compliance. This individual will serve as a liaison between employees and management, providing guidance and support on various HR-related matters.

The ideal candidate works well both independently and as part of a team, autonomously performs routine tasks and applies creative problem solving skills to continuously improve efficiency.

Responsibilities

Human Resources

Collaborate cross-functionally to facilitate and support people processes and initiatives with a focus on continual improvement and a positive employee experience

Own and manage the full-cycle new hire onboarding process including:

preparing candidate offer letters

coordinating candidate vetting and pre-employment screening

updating the new hire and stock option trackers

adding employees to ADP

organizing and conducting new hire orientation (US, Japan, Canada, Australia and/or any additional EOR countries added)

refreshing HR and IT onboarding materials for all locales

administering onboarding surveys, supporting 30/60/90-day check-ins (including a documented 90-day written review)

Own and coordinate the monthly performance management process, including tracking, rollout, follow-ups, approving reviews, sending anniversary review emails, and notifying managers about promotion actions

Process employee lifecycle changes, including new hires, promotions, transfers, leave and terminations, by maintaining accurate HRIS and ADP records, creating Jira tickets (new hires, terms and leaves) and updating stock option issuance trackers

Conduct our monthly dual employment audit and coordinate related follow-up

Collaborate with the People Team on HR metrics, reporting and data requests while maintaining accurate employee lifecycle records and trackers

Provide backup coverage for designated People Team activities such as timecard assistance, open enrollment, benefits support and temporary benefit ID cards, compliance and audit documentation requests, Slack channel moderation, and annual bonus file creation

Interact with employees and managers to provide level 1 employee relations support and manager coaching

Promote a positive work environment through employee engagement initiatives and communication strategies, including owning the monthly People Team newsletter

Assist with additional HR projects and initiatives as assigned

Support hiring and onboarding through EOR partners in Canada, Australia and other international locations by coordinating documentation, onboarding steps, employee data updates and issue resolution with internal stakeholders and external providers

Ability to work an occasional shifted schedule to assist with Japan-related HR operations, onboarding and employee support, coordinating across time zones and adapting processes and materials to meet local needs

Capability of assisting with (and occasionally leading) termination conversations and full cycle offboarding’s

Ability to leverage artificial intelligence tools to streamline HR processes, improve operational efficiency, and enhance the employee experience

Payroll

Provide backup timecard assistance and support payroll coordination for all locales as needed, while partnering with the primary payroll owners to resolve issues and maintain accurate records

Prepare data input for anniversary, promotion and compensation changes

Facilitate the ongoing tracking and management of PTO usage

Assist in disseminating sales incentive plans and commissions statements

Document and notify employees and managers of promotion and compensation changes

Assist with state payroll tax and unemployment reporting and tracking requirements

Benefits

Serve as a backup resource for general benefits support, including employee questions, form completion and temporary benefit ID cards, and provide PTO backup for the annual open enrollment process as needed

Assist with HSA/FSA tracking, payment processing and facilitation

Compliance

Develop and maintain HR onboarding and IT-related materials for all locales and assist with updates to HR policies, process documentation and employee files

Maintain employee records in compliance with applicable laws and regulations

Own HR Harassment Training – creation, rollout, and tracking completion and assist with other required compliance training workflows

Provide assistance with compliance and audit-related documentation and reporting requests, including SOC, ISO, IL5 and 401(k) audit support

Job Requirements

2-5 years experience in HR roles, with a focus on payroll, benefits and compliance

Knowledge of HR laws, regulations, and best practices

Excellent communication and interpersonal skills

Ability to maintain confidentiality and handle sensitive information with discretion

Proficiency in HRIS (Human Resources Information Systems) and ATS (Applicant Tracking Systems)

Baseline knowledge of Excel and GSuite

Strong problem-solving skills and attention to detail

Exceptional organizational and time management skills

Ability to multitask and prioritize tasks in a fast-paced environment

Team player with a collaborative and proactive approach

Flexibility and adaptability to change

Flexible schedule (occasionally onboarding occurs in US evening hours for our Japanese/AU employees)

Preferred Requirements

Bachelor’s degree in human resources, business administration, psychology, or related field

SHRM/HRCI Certification (any level)

Strong MS Office skills (Excel/Word in particular)

Background knowledge of California, Colorado and Illinois specific HR laws

Experience with HR laws outside of the US

Resides in the Chicagoland area
