The Role:

We’re seeking a highly organized and detail-oriented Renewal Operations Specialist to support the execution of customer renewals across our portfolio. This is a full-time role that will focus on process-driven operational excellence, working cross-functionally with Renewal Management, Customer Success, Sales, and Finance teams to ensure timely and accurate renewals throughout our 6-phase renewal lifecycle.

This role would be ideal for someone with 1-3 years of experience in Sales Operations, Customer Success, or administrative support roles, particularly in SaaS or software environments. The position requires strong attention to detail, excellent organizational skills, and comfort with CRM systems and renewal processes.

Responsibilities:

Renewal Execution and Administration

Prepare renewal quotes in Salesforce (CPQ) and pricing documentation based on Sales or Channel Partner guidance, including for legacy-to-subscription license transitions and multi-year renewal structures

Generate renewal forecast reports from Salesforce and validate renewal dates, contract terms, and billing history

Execute renewal communication sequences and manage communications with Channel Partners/Resellers across regions/internationally

Review customer- and partner-submitted POs for accuracy (term length, pricing, module coverage, etc.) and flag discrepancies for partner/Finance review

Coordinate PO collection, license certificate issuance, and billing processes per FinOps SOPs

Partner & Customer Communication

Serve as primary point of contact for renewal-related questions from direct customers and/or channel partners/resellers, escalating pricing or policy exceptions to Sales Owner/Leadership

Communicate standard renewal policies (e.g., known transition timelines, term-length rules) to customers and partners as instructed

Coordinate with international cross-functional team members and resellers to process POs and resolve documentation gaps

Communicate professionally across time zones and with non-native English/Spanish speakers

Process and Data Management

Update customer records, contacts, and renewal data in CRM systems

Proactively identify and resolve missing or inaccurate Salesforce opportunity data, coordinating with Sales to link records correctly

Tag opportunities for outreach sequences and maintain clean data hygiene

Document call outcomes, next steps, and renewal status updates

Coordinate with internal teams on pricing, legal, and escalation requirements

Operational Support

Flag renewal risks or blockers and escalate to appropriate team members/leaders

Distinguish renewal opportunities from new-business/upsell transactions and route accordingly

Provide administrative support to Renewal Manager and broader renewal team

Support internal meeting preparation, file management, and task tracking

Generate renewal reports and maintain visibility into renewal pipeline health

Qualifications

2-4 years of experience in Sales Operations, Account Management, Customer Success Billing/Finance, or administrative support roles

Proficient with Salesforce and Windows/Microsoft Suite, including Microsoft Excel

Software industry experience, particularly SaaS - strongly preferred

Comfort communicating with customers and/or channel partners on standard renewal process/documentation

Ability to work occasional early/late hours to support international customers across time zones

Excellent attention to detail and organizational skills with ability to manage multiple deadlines
