Role: Regional PM Lead – East

Location: Remote working until further notice

A Little Bit About the Role:

The Regional PM  lead will assist the Regional Head of Project Management as a senior lead in the business specifically to ensure project managers compliance to project management best practices and ways of working while leading and managing a team of project manages and the successful delivery of their projects. You will have a proven track record of leading and managing project managers and extended creative teams. You must exhibit deep program/project management expertise and an ownership mentality. You are a strong team player with exceptional attention to detail, strong communication skills.

Working collaboratively with internal and external stakeholders as a senior lead on the business, you will help define and shape all account processes and set operational best practice across the business.

Reporting into the Regional Head of Project Management, you will be responsible for the Project Management team and the services that they provide.

What you will be doing:

Leadership and team management

Provide leadership, mentorship & guidance to project management team

Accountable for the overall quality and successful delivery of projects

Drive project manager accountability and project excellence in all instances.

Responsible for the supporting projects managers achieve project results by ensuring projects are delivered on brief, on time and within budget

Monitor project progress, CE burn, burn rate & project profit & take corrective action if required

Oversee that project managers are complying with globally deployed PM process/ WOW

Govern the successful set up, execution, monitoring & control of projects & utilization of OMG

Train project managers that need additional training on how to properly execute PM processes

Support project managers with scoping, planning and specification of projects

Track identified project risks and the timeous implementation of mitigation responses

Responsible for PM onboarding and global team mindset (global project teams / global reach)

Together with the Global & Regional Heads of Project Management collaborate on project processes and operations (needs, definition, deployment, governance)

Utilise project reports to monitor & track project profitability, CE overburn and time compliance

Assist business review tools & operating systems & collaborate with operations to brief in needs

Ensure global collaboration with internal stakeholders

Govern and audit project artifacts to ensure all documentation is being created and maintained

Support and guidance on all project management account involvement

Oversee project deliverables QA / QC to ensure completed to the required standard

Upskilling team on Ai and automation and help drive Ai Initiatives

Support in building a global community

Track global PM training stats.

Workflow and Operations

Uses project management and workflow tools.

Responsible for the timely delivery of projects, escalating any potential issues to the Account Director.

Working within PMO on process development and improvements. Identifying where AI and Automation can be used to improve and simplify processes.

Process governance

Resource management​:

Work with regional resource managers to ensure all briefs get assigned to project managers.

Collaborate with Resource Managers to ensure full utilization of creatives& project managers

Flag available talent and maintain utilization of talent.

Work with resource managers to identify the best skill sets for projects & input on Freelancers

Oversee that project managers are working with global project teams vs. only regional teams

Finance:

Accountable for all weekly WIP meetings with project managers and finance team to ensure all OMG data is up to date and accurate.

Accountable for governance and improvement of project health, including overburn

Approving PO’s, cost estimates, and credit notes within a certain threshold

Accountable for overall regional project profitability on closure of jobs

Approval of Purchase orders issued to suppliers and capturing of all invoices related to freelance staff members.

Recruitment:

Vetting of CVs for project managers, traffic managers and producers.

Conducting interviews for project managers, traffic managers and producers.

Customer Contact:

Customer escalation support

Maintaining and forming strong relationships with customer

Guidance of best practice and helping guide best in class briefing

Line management duties:

Line management to direct reports

Responsible for quality conversations, growth & development in staff, regular 1:1 check ins

Address performance concerns and management of staff survey responses in Peakon

Motivate and encourage project management teams and creative delivery teams

Ensure administration tasks are maintained according to best practices

Project delivery

Will lead projects where required.

Is accountable for the brief and works with the client to ensure the team has obtained the right information required to begin work on the project.

Ensures that the project team and client agree to a budget and scope before work is commenced and obtains the necessary purchase orders to commence work.

Accountable for project timing plans, ensuring that project teams and the client are on board with them.

Accountable for scope management and scope creep on projects, working with the Project manager and Producers to ensure the client has approved and is aligned to these.

Escalates any projects that are at risk of an unsuccessful delivery to the Account Director.

Works with project teams to ensure that projects are running smoothly, ensuring that they understand the client's ambitions and that the client understands the requirements of the team to meet them.

Accountable for the final presentation of work to the client, ensuring that the work answers the briefs, all QA checks are complete and is presented in the best light.

What you will need:

Excellent client engagement skills with the ability to proactively organise and influence clients and build strong and effective working relationships.

The ability to manage and filter workflow as well as organise and prioritise workloads to maximise productivity.

Knowledge of account management and invoicing.

Highly creative with the ability to generate ideas and practically contribute to studio output.

Proficient in Microsoft Office and other related software.

Understanding of how to integrate with a client-side team whilst maintaining a top-tier agency service.

Good to have:

Agency/communication/production industry experience

Basic understanding and genuine interest in artificial intelligence (AI) technologies, showcasing a curiosity for exploring its applications and potential impact.
