About the role

Provides corporate-level leadership and governance for the Gruns Quality Management System (QMS), ensuring standardized, effective, and compliant quality systems are implemented across the organization. This role establishes and maintains corporate quality system requirements, supports facility implementation and continuous improvement, and partners with facility Quality teams to ensure alignment with applicable regulatory, customer, certification, and company requirements. The Quality Systems Manager drives consistency, compliance, data integrity, training effectiveness, and inspection readiness across the organization. This role reports into the Director of Quality.

This role is part of our remote HQ! We have a fully remote, high-trust work environment - and also come together on a biannual basis for amazing off-sites where we can connect IRL.

In this role, you will:

Owns, implements, maintains, and continuously improves the corporate Quality Management System (QMS), establishing standardized quality processes, procedures, governance, and expectations across Gruns facilities.

Provides QMS guidance and support to facility Quality teams to ensure corporate requirements are effectively implemented, maintained, and consistently applied while allowing for site-specific procedures where appropriate.

Manages the corporate Document Control program, including creation, review, approval, issuance, revision, periodic review, archival, obsolescence, and controlled distribution of policies, SOPs, forms, and other QMS documents.

Manages the Change Control program and ensures proposed changes are appropriately documented, risk-assessed, reviewed, approved, implemented, communicated, and verified for effectiveness, as applicable.

Manages and supports the corporate Food Safety and Quality Training Program, including development and maintenance of learning plans, training matrices, training assignments, completion tracking, retraining requirements, and training records in coordination with facility Quality teams.

Serves as the business owner and primary Quality administrator for Veeva QualityOne, supporting system configuration, user adoption, workflow implementation, data integrity, reporting, and continuous improvement of electronic QMS processes.

Develops, maintains, communicates, and supports implementation of WBC Quality Standards and other corporate Quality standards, ensuring requirements are translated into effective facility-level programs and procedures.

Provides governance and workflow support for CAPAs, deviations, non-conformances, and Out-of-Specification (OOS) events, including documentation quality, investigation expectations, root cause analysis, action planning, approvals, effectiveness checks, trending, and timely closure.

Manages complaint trending and quality data analysis to identify recurring issues, emerging risks, systemic trends, and opportunities for corrective, preventive, or continuous improvement actions. Communicates significant trends to Quality leadership and applicable stakeholders.

Supports facility and corporate Management Review by compiling, analyzing, and presenting QMS performance indicators, trends, CAPA/deviation/OOS status, complaint data, audit observations, training performance, and other relevant quality metrics.

Supports internal, customer, regulatory, and certification audits by ensuring corporate QMS documents and records are current, controlled, complete, and audit-ready and by assisting facilities with preparation, responses, corrective actions, and follow-up activities.

Partners cross-functionally with Quality, Operations, Product, Regulatory, Supply Chain, and other applicable teams to ensure quality system requirements are incorporated into business processes, new initiatives, and organizational changes.

Monitors QMS effectiveness through metrics, trending, periodic reviews, and compliance assessments and recommends system improvements based on identified risks, recurring issues, audit findings, and business needs.

Provides training, coaching, and technical guidance to facility Quality teams and other stakeholders on corporate QMS processes, documentation expectations, QualityOne workflows, and applicable Quality standards.

Ensures corporate quality records are maintained, retained, readily retrievable, and protected in accordance with applicable regulatory requirements, company policies, and established record-retention requirements.

Supports harmonization and standardization of quality systems across facilities while escalating significant compliance, product quality, or food safety risks to Quality leadership.

Basic Qualifications:

Demonstrated experience implementing, managing, and improving Quality Management Systems (QMS) in a regulated food, dietary supplement, consumer health, or related environment.

Working knowledge of applicable FDA requirements, including 21 CFR Part 111, and current Good Manufacturing Practices (cGMPs).

Experience with document control, change control, training systems, CAPA, deviations, OOS investigations, complaint trending, and quality metrics.

Experience with electronic Quality Management Systems (eQMS); Veeva QualityOne experience strongly preferred.

Knowledge of GFSI/SQF quality and food safety system requirements preferred.

Ability to develop corporate standards and effectively support implementation across multiple facilities.

Strong written and verbal communication, organization, analytical, problem-solving, and cross-functional collaboration skills.

Ability to manage multiple priorities, drive timely closure of quality system activities, and influence stakeholders without direct authority.

Education:

Bachelor's degree in Food Science, Quality, Biology, Chemistry, Engineering, or a related field with 5+ years of Quality Systems/Quality Assurance experience, or an equivalent combination of education and relevant technical work experience.

Relevant certifications or formal training in quality systems, auditing, HACCP, SQF/GFSI, root cause analysis, or CAPA are preferred.

At Grüns, we're committed to providing a competitive total compensation package — grounded in market data that considers our size, stage, industry, and location. For this role, the base salary range is $125,000 - $140,000 plus bonus depending on experience, paired with a comprehensive benefits package designed to support the well-being and growth of our team.
