Operations Coordinator
Monks is on the lookout for a Operations Coordinator to join our Content team and play a key role in how we allocate, optimize and support talent across our projects.
You’ll work across multiple creative and production disciplines, partnering with project teams and craft leads to understand what each project truly needs, identify the right talent for the work, and make smart staffing decisions across competing priorities. This is more than a scheduling or booking role. We’re looking for someone who can understand the bigger picture, challenge requests when needed, anticipate problems, and proactively find solutions that make the best use of our teams, time and budgets.
Role & Responsibilities:
Own resource allocation across multiple projects and disciplines, balancing availability, skills, utilization, timelines and business priorities.
Partner with Project Managers, Producers, Operations and craft leads to understand project needs and build effective staffing plans.
Assess briefs and scopes critically, challenging staffing requests when needed and recommending the right roles, allocations and timing for the work.
Navigate competing priorities and resource constraints, negotiating with stakeholders and proactively proposing viable alternatives.
Maintain accurate visibility of bookings, availability and capacity to support fast and informed staffing decisions.
Build strong relationships with talent and craft leads to understand individual strengths, experience and project fit.
Identify recurring operational challenges and proactively improve processes, workflows and ways of working.
Use data, automation and AI where relevant to improve resource planning, visibility and operational efficiency.
Requirements:
Strong experience in Resource Management, Creative Operations, Production Operations, Traffic Management, Workforce Planning or a similar role within an agency or fast-paced creative/production environment.
Strong understanding of creative and production workflows, with the ability to quickly understand different disciplines and translate project needs into effective staffing solutions.
Demonstrated ability to manage multiple requests, resources and priorities simultaneously.
Highly autonomous and solutions-oriented: you’re comfortable making decisions, negotiating priorities and moving things forward without constant direction.
Strong stakeholder management and communication skills, including the confidence to constructively push back, manage expectations, clearly communicate issues and propose alternatives.
Solid scoping skills, with the ability to translate project needs into realistic timings, roles and resource estimates.
Excellent organizational skills and attention to detail, with the ability to keep resource and capacity information accurate in a fast-moving environment.
Good understanding of budgets, timelines and the cost implications of staffing decisions.
Excellent written and spoken English, with professional fluency to confidently navigate nuanced conversations, negotiations and relationships with global stakeholders.
Comfortable working with resource/project management tools such as Monday.com, Asana, Jira, Notion or similar.
Nice-to-haves
Experience with pitches, RFPs, retainers and agency staffing models.
Experience managing freelance or external talent.
Experience with capacity forecasting, utilization or profitability.
Familiarity with the production and post-production of film, image, animation and social content.
Experience improving operational processes through automation, AI or data.
Project Management experience combined with a strong interest in resource planning and operations.
