Purpose of Job:

APCON is seeking an Office Coordinator to join our Regional Texas Team. This position will play an integral role in the customer service and organizational strength of our company. The Office Coordinator will maintain common areas, provide administrative support, greet and direct visitors and field calls and emails. The ideal candidate will have impeccable verbal and written communication skills, a strong ability to multi-task and a friendly demeanor.

Responsibilities:

Works the front desk to ensure APCON floor is staffed, safe, and secure

Welcomes onsite visitors, determines nature of business, and announces visitors to appropriate personnel

Coordinates visitor and candidate arrival times and ensures appropriate personnel are prepared for onsite guests

Coordinate onsite interview logistics, including setting up and launching Zoom meetings to connect with remote interviewers and the recruiting team

Monitors visitor access and issues security badges when required

Maintains security by following procedures and controlling access to the APCON suite

Coordinates access for building maintenance, contractors, and service vendors

Processes and distributes incoming and outgoing mail and deliveries

Answers, screens, and forwards incoming email and phone calls

Tracks office supply inventory, submits supply needs to Office Manager, and receives orders into inventory once delivered

Supports the President, Human Resources, and other departments as assigned

Participates in Safety Committee Meetings; takes meeting minutes and maintains fire drill list

Assists in organizing events

Schedules conference rooms as requested

Orders catered group and individual lunches

Maintains cleanliness of general office and all break areas

Performs basic facilities troubleshooting and coordinates with building maintenance, contractors, and service vendors when issues arise

Performs clerical duties such as data entry, file scanning, photocopying, and document organizationSpecial projects and errands as needed

Keep the office kitchen, break areas, conference rooms, reception area, and other shared spaces clean, organized, and presentable throughout the day

Load and unload the dishwasher, put away clean dishes, and wash or organize kitchen items as needed

Wipe down kitchen counters, tables, appliances, sinks, and other shared surfaces

Restock coffee, beverages, snacks, paper products, utensils, and other kitchen supplies

Core Competencies:

Strong interpersonal skills; ability to communicate professionally across the organization

Ability to maintain a high level of confidentiality and professionalism

Strong attention to detail and exceptional customer support

Proficient in Microsoft Office Suite

Ability to use Zoom or similar video conferencing platforms to schedule and host meetings.

Familiarity (or Experience) with UPS and FedEx Platforms

Must be able to work independently and as a team member

Operational proficiency with UPS and FedEx systems for office shipping tasks

Ability to prioritize and be flexible in a fast-paced environment

Qualifications and Requirements:

2+ years of experience in an office coordinator/administrator role

Ability to multitask and meet challenging deadlines

Self-directed and able to complete projects with limited supervision

Take initiative and use good judgment

Passion for learning new things and continuous improvement

Education:

Bachelor’s degree or an equivalent combination of education and experience

Travel: Occasionally, up to 15%

Physical Demands:  To perform the duties of this position, you must have the ability to occasionally sit, stand, bend, twist, reach, carry, lift, pull, and push between 1-20 lbs.
