Primary Duties
Maintenance & Support Tracking: Track, renew, and audit hardware maintenance contracts (e.g., Cisco SmartNet, Juniper Care) in partnership with the IT Manager and procurement. Monitor coverage across sites, confirm it matches each facility's required Service Level Agreement (SLA), and escalate gaps or upcoming expirations.
Hardware Licensing Compliance: Track embedded hardware licensing (e.g., perpetual, subscription-based, or capacity-based network licenses). Verify that network gear has the required licenses before, during, and after deployment to field sites, and escalate compliance issues.
Deployment Logistics Coordination: Coordinate the shipment of critical, heavy, and sensitive network infrastructure. Work with network engineering, vendors, and freight partners to align arrivals with deployment schedules and site maintenance windows.
RMA & Spares Support: Open and track Return Merchandise Authorization (RMA) cases with OEMs and coordinate replacement shipments under active maintenance contracts during site network outages. Maintain spares inventory records and support replenishment of regional spares pools.
CMDB & Lifecycle Records: Maintain accurate CMDB records. Map hardware serial numbers to license keys, support contracts, physical locations, and expiration dates, and run regular data-quality checks.
Preventative Maintenance Tracking: Work with network engineering teams to log prescribed maintenance schedules, hardware refreshes, and firmware/hardware patch dependencies required by the OEM to maintain support validity.
Reverse Logistics & Secure Decommissioning: Coordinate the recovery of decommissioned network gear. Support license detachment and reuse, confirm factory resets, and schedule pickups with certified IT Asset Disposition (ITAD) vendors while maintaining chain-of-custody records.
Reporting: Prepare regular reports on contract coverage, upcoming renewals, inventory status, and open RMAs for the IT Manager and stakeholders.
Experience
Asset Management & Logistics: 2–4 years of experience in IT asset management, logistics, or network operations support, including exposure to hardware maintenance contracts and OEM support portals.
Contract & License Awareness: Working understanding of enterprise hardware support structures (e.g., 8x5xNBD vs. 24x7x4hr response times) and hardware-bound software licensing.
Technical & System Proficiencies: Familiarity with enterprise CMDB/ITAM tools (e.g., ServiceNow, Flexera). Experience with OEM vendor portals (e.g., Cisco Commerce Workspace / CCW) is preferred.
Hardware Vocabulary: Working knowledge of physical network components (form factors, chassis modules, power supplies) sufficient to communicate inventory and maintenance needs with engineers and vendors.
Logistics Exposure (Preferred): Experience coordinating tech freight, working with freight forwarders, or supporting cross-border shipments and customs documentation.
LANGUAGE SKILLS: Ability to read, understand, and interpret job-related documents, instructions, policies, and communications in English. Ability to communicate effectively in English, both verbally and in writing, with employees, customers, vendors, and other business partners, as applicable to the position.
REQUIRED EDUCATION / CERTIFICATIONS: Bachelor’s degree in Supply Chain Management, Logistics, Information Systems, Network Engineering, or a related field.
PHYSICAL DEMANDS: Regular use of hands and fingers to operate a computer, keyboard, mouse, and other office equipment, including repetitive motions such as typing, scrolling, and mouse use. Ability to communicate effectively and understand verbal communication in person, by telephone, and through video conferencing or other remote communication tools. Ability to view and read information on computer screens and printed materials, including the ability to adjust focus. The position requires prolonged periods of computer use and viewing a computer screen.
