Executive Assistant to the CTO
We are seeking a high-trust, proactive Executive Assistant to act as a strategic operational partner to our CTO across global time zones (EMEA, US, APAC). In this role, you will take full ownership of complex calendar prioritization, end-to-end travel logistics, inbox triaging, and high-stakes communications—drafting replies directly in the CTO's voice while maintaining absolute discretion over confidential matters (M&A, hiring, comp). From preparing meeting briefs to coordinating board events and chasing leadership follow-ups, you will keep the CTO focused and operating at peak efficiency.
The ideal candidate brings 3+ years of experience supporting founders or C-suite executives in fast-paced environments. You thrive under ambiguity, exercise sharp judgment without hand-holding, and communicate with exceptional conciseness. Highly fluent in Google Workspace, Slack, and modern AI tools, you combine low ego with high standards to solve problems before they reach the CTO's desk.
Responsibilities:
Own the CTO's calendar: scheduling, prioritization, protecting focus time across EMEA, US and APAC time zones
Organize travel end to end: flights, hotels, logistics, changes on the fly
Triage inbox and messages; draft replies and follow-ups in his voice
Prepare meetings: agendas, briefs, background on people and companies
Chase follow-ups and open threads across the leadership team
Coordinate internal events, offsites and board meeting logistics
Handle confidential material (hiring, comp, M&A) with full discretion
Occasional personal scheduling where it intersects with work commitments.
Requirements:
Judgment under ambiguity: you make dozens of small calls a day without checking in, and you get them right
Proactive ownership: you notice problems and fix them before anyone asks
Absolute discretion with sensitive information
Sharp, concise written communication that can pass as the CTO's own
Low ego, high standards: the job is invisible when done well
Fluent with Google Workspace, Slack and modern AI tools
3+ years supporting a founder or C-level executive preferred
Italian and English fluency is required; Mandarin is a plus
