BambooHR is seeking a highly skilled, proactive Executive Assistant to serve as a trusted partner to our Chief Customer Experience Officer. This role extends well beyond traditional administrative support. We are looking for someone who understands how to create executive leverage—anticipating needs, connecting priorities across the customer organization, improving workflows, and ensuring the executive is prepared to communicate clearly and make informed decisions.

The ideal candidate is an exceptional operator with strong business judgment, presentation skills, financial acumen, and curiosity about AI and emerging technology. You will help transform customer data, organizational updates, and early ideas into executive-ready insights and materials while keeping a complex, fast-moving organization aligned.

Essential Job Duties

Strategic Executive Partnership

Serve as a trusted partner to the Chief Customer Experience Officer, anticipating needs and proactively advancing priorities.

Develop a strong understanding of company strategy, the customer journey, customer segments, strategic accounts, retention drivers, and key customer metrics.

Help prioritize the executive’s time based on customer and business impact—not simply calendar availability.

Operate confidently in ambiguity, knowing when to act independently and when executive input is needed.

Executive Presentations and Communications

Partner on Board, Executive Team, QBR, annual planning, customer health, retention, churn, Voice of the Customer, and customer journey presentations.

Synthesize complex information into clear narratives that explain what is happening with customers, why it matters, and what action or decision is needed.

Review materials for storyline, clarity, audience, supporting data, business impact, potential questions, and overall readiness.

Create executive summaries, slide headlines, talking points, speaker notes, briefing documents, and anticipated Q&A.

Maintain strong quality and consistency across executive communications.

AI and Customer Intelligence

Use approved AI tools—including ChatGPT, Claude, Microsoft Copilot, and emerging technologies—to improve the quality and speed of executive work.

Synthesize customer feedback, survey comments, meeting notes, support trends, and other approved data sources to identify themes and emerging issues.

Create customer briefings covering relationship history, sentiment, open concerns, risks, opportunities, stakeholders, and desired outcomes.

Use AI to structure presentations, sharpen narratives, identify missing information, summarize data, and pressure-test recommendations.

Identify opportunities to automate repeatable work while following company privacy and data-security requirements.

Business and Financial Support

Build familiarity with Customer Experience budgets, forecasts, headcount, retention performance, customer health metrics, and revenue impact.

Support budget reviews and financial discussions by gathering information, organizing materials, and identifying gaps.

Help connect customer experience investments and initiatives to measurable business outcomes.

Partner effectively with Finance, Sales, Product, Marketing, and Customer Experience leaders to ensure the executive has timely and accurate information.

Executive Operations and Customer Readiness

Strategically manage a complex calendar, balancing immediate requests with customer and organizational priorities.

Coordinate executive travel, customer meetings, site visits, leadership sessions, planning meetings, offsites, and customer events.

Ensure the executive enters important meetings with the necessary context, customer history, metrics, materials, stakeholder information, talking points, and decisions required.

Capture decisions, commitments, owners, and deadlines—and help drive consistent follow-through.

Build trusted relationships across Customer Experience, Product, Sales, Marketing, Finance, Operations, and executive leadership.

Identify operational friction and improve how the executive and Customer Experience organization work.

What You Need to Get the Job Done

Significant experience supporting a C-suite executive or senior business leader in a fast-paced organization.

Exceptional judgment, discretion, organization, and attention to detail.

Strong business acumen and the ability to understand customer strategy, financial information, performance metrics, and organizational priorities.

Demonstrated experience developing or improving executive-level presentations and communications.

Confidence using AI tools to synthesize information, identify themes, improve workflows, and produce high-quality first drafts.

Advanced proficiency with Google Workspace or Microsoft Office, particularly presentation and spreadsheet tools.

Excellent written and verbal communication skills, with the ability to tailor information for Board, executive, employee, and customer audiences.

A proactive mindset and a track record of identifying gaps, solving problems, and moving work forward without requiring constant direction.

The ability to manage competing priorities with calm, flexibility, and professionalism.

Success in this role means the Chief Customer Experience Officer is better prepared, sees customer insights faster, communicates more clearly, and remains focused on the highest-impact customer and business priorities.
