Executive Assistant
We are looking for an Executive Assistant to support our C-Suite and help oversee our in-person operations. This is a CEO-primary role with additional support as needed for other top executives. We are seeking someone who is highly organized and does not let small details fall through the cracks, takes self-initiative without needing specific guidance, and understands the importance of professionalism and responsiveness. The executives you support will move faster and operate better because of you.
Day to day, you will manage complex calendars (including scheduling onsite visits), help coordinate travel, own hosting logistics for VIP guests, and serve as a key coordination point across the leadership team. In addition, you will directly manage our Office Operations Manager, helping to guide and improve our office environment where you see opportunities. You will report to the Chief People Officer and work closely with stakeholders across the company.
As an Executive Assistant at Chronograph, you will:
Serve as the primary EA to the CEO, with secondary support across the broader C-suite (Chief Client Officer, Chief People Officer, and Global Head of Sales)
Coordinate domestic and international travel end-to-end, including flights, hotels, ground transportation, and itineraries that anticipate and preclude problems
Manage onsite guest coordination and conference room bookings for executive-level visits and internal events
Help plan, organize, and execute company events alongside our Marketing team
Maintain organized systems and records across the executive team
Identify and drive improvements to administrative and office operations processes as the company scales
You will be successful in this role if you:
Have 4-7 years of EA experience within financial services, fintech, or a scaled technology company
Can manage ambiguity without needing constant direction: you figure out what needs to happen and make it happen
Know when to escalate and when to handle it yourself, and have the judgment to tell the difference in real time
Are trusted with sensitive information and treat discretion as a baseline
Can help manage and appropriately pushback as needed on behalf of executives when changes occur
Manage competing priorities across multiple stakeholders without losing the thread on any of them
Communicate clearly and concisely in writing and verbally, including drafting on behalf of executives when needed
Are proficient in Microsoft Office / Google Apps Suite; familiarity with Ramp, Navan, Notion, and Slack is a plus
Use and have an interest in increasing AI fluency

Salary Range (dependent on experience)
