Workplace Coordinator
ROLE OVERVIEW
As a Workplace Coordinator, you'll support the day-to-day workplace experience in our London office — helping to keep operations running smoothly while contributing to initiatives that elevate our environment and support Harvey's growth. As a central point of contact for employees, guests and building management, you'll work closely with the Workplace Manager and partner with People Ops, IT and other support functions across everything from onboarding and events to day-to-day facilities.
This is a practical, people-first role for someone who takes pride in the workplace experience and brings both structure and warmth to everything they do — helping to create an inclusive office environment that reflects Harvey's values and culture.
This is a fully in-office role based in London, with an expectation of on-site presence Monday through Friday, 08:00 – 16:00 and some flexibility required on occasions for event coverage.
WHAT YOU'LL DO
Workplace Operations
- Support the day-to-day running of the London office, helping to ensure the space is clean, stocked, safe and operating smoothly at all times
- Be the first point of contact for employees, visitors and candidates — assisting with building access, event requests and the employee experience with warmth and professionalism
- Handle packages, deliveries and day-to-day employee requests, escalating where needed
- Track and respond to workplace tickets in a timely manner, ensuring requests are actioned promptly and escalating to the appropriate team where needed
- Assist with office hospitality including lunch ordering, catering coordination, snacks, beverages and kitchen operations
People & Culture
- Assist with EMEA onboarding coordination — including catering, swag and office tours to help ensure new hires have a great introduction from Day 1
- Support the planning and execution of events that build connection: team lunches, all-hands, happy hours and company gatherings, working closely with the Workplace Manager on larger events and offsites
WHAT YOU HAVE
- 3+ years of experience in an office coordination, workplace support or administrative role, ideally at a fast-growing tech or startup company
- A genuine passion for creating great workplace experiences and making people feel welcome
- A proactive, can-do attitude — you notice what needs to be done and take initiative without being asked
- Strong organisational skills with the ability to manage multiple tasks and priorities with care and attention to detail
- Great interpersonal and communication skills — you're approachable, reliable and someone people naturally feel comfortable coming to for help
- Some experience supporting vendor relationships or coordinating across multiple teams
- Comfortable working in a fast-paced environment where priorities can shift quickly and no two days look the same
