Job summary

The Regional Operator is a core part of Roboyo’s Americas leadership and delivery operations, working directly with the Regional CEO to keep the day-to-day engine of the business running smoothly. You will support the coordination of staffing across regional delivery teams, help maintain the integrity of our projects, operational and staffing tracking systems, and provide the operational connective tissue linking sales, staffing, and hiring. You will also support the Head of Quality Delivery on regional PMO matters — from status reporting to the standardization of delivery frameworks and artefacts, and the adoption of AI accelerators across the region – and support closely the leadership team on the tracking of the P&L (Revenue & cost).

Working closely with the Regional CEO, the Global Staffing Lead, the Head of Quality Delivery, Finance team and partner vendors, you bring precision, reliability, and genuine curiosity about operational excellence to a fast-moving consulting environment.

General: Responsibilities and tasks for this role

Americas PMO & Delivery Governance Support

Support the Head of Quality Delivery in preparing regional status updates, governance packs, and leadership reporting for the Americas PMO stream.

Support the set-up and rollout of delivery frameworks, methodologies, and governance cadences across regional engagements.

Support the standardization of delivery artefacts — templates, trackers, status reports, and playbooks — to drive consistency and quality across projects.

Support the adoption of AI accelerators and reusable delivery assets across the region, working with delivery teams to embed them into live engagements.

Help maintain the region’s PMO toolkit and knowledge base, ensuring teams have access to the latest templates, guidance, and lessons learned.

Coordinate PMO-related communications and follow-ups between the Head of Quality Delivery, the Regional CEO, and delivery teams.

Track methodology compliance across regional engagements, maintaining visibility of template usage, gate adherence, and governance cadences, and surface the data to support enforcement discussions with delivery leads.

Maintain a portfolio-level health view across active regional engagements, including RAG status, schedule variance, and budget burn, to give the Head of Quality Delivery timely visibility ahead of escalations.

Support the onboarding of new delivery hires to regional methodology, templates, and tooling, helping drive consistency and accelerate time-to-effectiveness.

Staffing & Resource Coordination

Support the coordination of staffing requests with regional delivery teams and the Global Staffing Lead, tracking open needs, proposed matches, and confirmed assignments.

Maintain visibility of resource availability, upcoming roll-offs, and bench status across the Americas region.

Help prepare staffing proposals and resourcing summaries for internal reviews and client-facing discussions.

Flag staffing gaps, conflicts, or over-allocations early, and escalate to the appropriate delivery or staffing lead.

Project & Staffing Tool Management (Kantata)

Support the day-to-day administration of Kantata as the region’s operating system for project tracking, revenue tracking and staffing.

Maintain accurate project, resource, and allocation data, ensuring records reflect current assignments and forecasted needs.

Support the running of reports and dashboards, and help troubleshoot data quality issues with the wider Kantata user base.

Provide first-line guidance to regional team members on Kantata use, escalating tool issues where needed.

Sales-to-Staffing-to-Hiring Lifecycle

Support the link between sales, staffing, and hiring by tracking pipeline opportunities and translating them into staffing and resourcing needs.

Help coordinate handoffs between the sales team, staffing, and delivery leads as opportunities progress to signed engagements.

Maintain visibility of the lifecycle end-to-end, so staffing gaps are identified before a project kicks off, not after.

Financial & P&L Tracking Support

Support tracking of project and regional P&L, including utilization, revenue, and cost data.

Help maintain financial trackers and reporting templates, flagging variances against forecast for review by delivery and finance leadership.

Support the preparation of regular financial summaries for internal governance and leadership reviews.

Partnership Management

Support administrative tasks related to Roboyo’s partnership ecosystem (e.g. Beeline platform), including maintaining records, processing requests, and tracking status.

Help ensure compliance with partner processes and timelines, escalating issues as needed.

Act as a regional point of contact for day-to-day partner administration questions.

Hiring Needs & Capacity Coordination

Support the coordination of hiring needs based on current and forecasted regional capacity, working with delivery leads and HR/recruitment.

Help maintain a clear view of open requisitions, hiring status, and expected start dates against staffing plans.

Contribute capacity and demand data to support hiring prioritization discussions.

Reporting, Data Quality & Continuous Improvement

Maintain accurate, up-to-date records across staffing, project, and financial systems, supporting a single source of truth for the region.

Support the production of regular operational reporting for regional and global leadership.

Identify opportunities to improve staffing, tracking, and reporting processes, and contribute to documentation and playbooks for the operator function.

Own the production and maintenance of delivery & operational KPI dashboards, supporting the operational cadence through which metrics are reviewed and acted on by regional leadership.

Qualifications & Experience

3-5 years of experience in consulting, an operations, PMO, or business support role, ideally within a consulting, professional services, or technology environment.

Exposure to PMO frameworks, delivery governance, or the standardization of delivery artefacts in a consulting or technology environment.

Working knowledge of project/resource management or staffing tools (e.g., Kantata, Mavenlink, Salesforce, or similar); direct Kantata experience is a strong plus.

Comfortable working with financial and operational data, including basic P&L, utilization, and tracking concepts.

Strong Excel and PowerPoint skills; comfortable building and maintaining trackers, reports, dashboards, and status packs.

Highly organized and detail-oriented, with the ability to manage multiple concurrent requests and deadlines.

Clear written and verbal communication skills in English; able to coordinate effectively across regional and global stakeholders.

Comfortable operating with discretion and professionalism in a role with direct exposure to regional leadership, including the Regional CEO and Head of Quality Delivery.

Bachelor’s degree in Business Administration and / or Masters / MBA

Interest in, or exposure to, AI-enabled delivery accelerators and the adoption of automation tooling within a delivery organization.
