Office Manager (Warsaw)
Why this role exists:
This role exists to keep our office environment running smoothly, predictably, and without friction for the team. You’ll help us create a comfortable, well-organized workspace and seamless office experience by owning day-to-day operations, vendor coordination, and events.

What you’ll drive:
Office operations & experience
Own the day-to-day office operations and keep everything running smoothly.
Coordinate cleaning, maintenance, repairs, and general office services.
Ensure the office is well-stocked (food, snacks, supplies, equipment).
Manage vendor relationships and maintain an up-to-date supplier database.
Step in and solve operational issues before they become visible to the team.
Budget & administrative control
Manage office-related expenses and ensure accurate and timely payments.
Handle invoice tracking and booking in 1C.
Prepare and monitor the office admin budget.
Support budget planning and provide visibility into spending.
Keep financial processes structured, predictable, and under control.
Events & team experience
Organize office events and team activities (both internal and outdoor).
Support company-wide events locally in collaboration with the Talent team.
Build and maintain a reliable network of event vendors.
Track event budgets and ensure efficient spend.
Collect feedback after events and turn it into actionable improvements.
Cross-team support
Support travel coordination processes when needed.
Help the Talent team with occasional operational tasks (merch, gifts, logistics).
Partner with internal stakeholders to keep office-related processes aligned.
Be the go-to person for anything related to office operations.

Must-have
2+ years of experience in office management or a similar operational role.
Strong organizational skills and ability to manage multiple things at once.
Confident communication with different stakeholders and vendors.
Proactive mindset — you don’t wait for problems, you prevent them.
Comfortable working with budgets, numbers, and Excel.
Upper-Intermediate English or higher.
Upper-Intermediate Polish or higher.
Nice-to-have
Experience with 1C and/or HiBob.
Experience organizing corporate events or team activities.
Experience working in an international or fast-paced environment.
