Lease Administrator
The Lease Administrator maintains and administers lease records for an assigned portfolio of commercial and/or residential properties, abstracting lease terms, tracking critical dates, and supporting accurate billing, renewals, and compliance with lease agreements.
Essential Duties and Responsibilities
Abstract key lease terms, including rent, escalations, renewal options, and critical dates, into the lease administration system.
Maintain accurate and organized lease files, amendments, and related documentation.
Track and monitor critical lease dates, including renewal, termination, and option deadlines, and notify stakeholders in advance.
Prepare renewal offers and communications in a timely manner; follow up consistently to support resident/tenant retention, coordinating pre-renewal inspections with property or engineering staff as applicable.
Support tenant/resident billing processes, including recurring rent, CAM, tax charges, and other charges based on lease terms.
Coordinate move-in and move-out administration, including lease execution, unit or space turnover documentation, and required notices to property management, maintenance, and vendor teams.
Respond to routine inquiries from tenants/residents, property management, and internal teams regarding lease terms and account status.
Assist with lease audits to verify billing accuracy and compliance with lease provisions.
Maintain the lease administration database and tenant/vendor records, including insurance certificates, ensuring data accuracy and completeness.
Support preparation of lease abstracts, summaries, and reports for property management and accounting teams.
Assist with document retrieval and support for audits, due diligence, or legal requests.
Maintain working knowledge of Fair Housing requirements and other applicable leasing regulations; complete ongoing training as required.
Perform other duties and responsibilities as assigned.
Qualifications
Bachelor's degree in Business, Real Estate, or related field preferred; equivalent experience considered.
1-3 years of experience in lease administration, property management, or a related field, across commercial and/or residential properties.
Ability to read and interpret commercial and/or residential lease documents.
Working knowledge of Fair Housing regulations preferred for residential portfolios.
Proficiency in Microsoft Excel; experience with lease administration or property management software (e.g., Yardi, MRI, RealPage, Lucernex) a plus.
Strong organizational skills and attention to detail.
Effective written and verbal communication skills; comfortable handling tenant/resident inquiries professionally.

This position is 100% in-office. The role requires working in office during standard business hours. Remote work or telecommuting is not an option for this position.
