We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative and operational support to our Financial Executives. The Executive Assistant will serve as a trusted partner and key point of contact, helping manage priorities, coordinate activities, and ensure the day-to-day operations of the executive office run smoothly. This role requires strong judgment, discretion, and the ability to anticipate needs in a fast-paced environment. The ideal candidate is an excellent communicator who can effectively manage competing priorities, maintain confidentiality, and build strong relationships with colleagues and stakeholders across the organization.

Key Responsibilities

Calendar Management: Manage the executive's calendar, scheduling meetings, conferences, and travel arrangements as necessary

Meeting Coordination: Plan and coordinate meetings, including preparing agendas and distributing materials

Expense Management: Prepare and process expense reports in Coupa

Communication: Draft and prepare correspondence, reports, and presentations, ensuring accuracy and professionalism, for both internal and external stakeholders

Data Entry and Management: Maintain accurate and up-to-date databases and tracking systems

Qualifications

Educational Background: An undergraduate degree in a relevant discipline (Business Administration, Legal Studies, or Data Operations) is highly desirable

Career Ambition: Demonstrated enthusiasm for advancing within administrative support roles, particularly those focused on marketing

Technical Proficiency: Fluent across Apple hardware ecosystems (macOS, iOS) and advanced workflows within Google Workspace (Docs, Sheets, Slides, Drive, Gmail) Highly proficient with Google Suite applications, MAC, and iPhone

Exact compensation may vary based on skills and experience. This position is not bonus eligible.

Compensation Range

$66,300—$68,300 USD
