Administrative Operations Assistant
Thanks for your interest in Oklo! We are searching for an Administrative Operations Assistant to support our Vice President, Oklo Isotopes and team as it builds a vertically integrated, domestic supply of critical radioisotopes.
Position Description
Oklo is seeking an experienced, dynamic, technically capable Administrative Operations Assistant to support the Vice President Oklo Isotopes and team, and the broader radioisotope production and vertical-integration effort. This role demands a combination of administrative prowess and the agility to navigate a fast-moving company at the frontier of advanced fission (nuclear energy) and the domestic production of critical radioisotopes for healthcare, industry, research, and national security.
Discretion is essential to this role. The Administrative Operations Assistant will regularly handle highly technical, sensitive, and confidential information across the Isotopes vertical, including proprietary technical data, regulatory and licensing materials, partner and vendor agreements, personnel matters, Controlled Unclassified Information (CUI), and information subject to U.S. export-control laws. The role may also require access to regulated facilities operating under government oversight. Given the significance and scope of this work, the successful candidate must demonstrate sound judgment and treat confidentiality, compliance, and accountability as fundamental responsibilities of the position. Employment will be contingent upon the candidate’s ability to satisfy all applicable export-control, CUI-handling, background-screening, and facility-access requirements.
In your cover letter, please describe and link to any creative work you are particularly proud of — an event you planned, artwork, an article or blog post, a website you designed, or even a social media account.
Specific responsibilities may include:
Provide comprehensive support to the Vice President Oklo Isotopes and team, including calendar management, coordinating meetings, and handling travel arrangements
Efficiently process and distill a high volume of incoming information, presenting it in a prioritized manner to the Vice President Oklo Isotopes and team, and facilitating subsequent actions
Prepare and edit presentations, reports, and other critical documents, ensuring accuracy and timely delivery
Manage confidential information with discretion, upholding the company’s data protection standards
Proactively address and resolve administrative and technical challenges
Assist with project coordination, ensuring milestones are met and updates are communicated effectively
Handle ad-hoc tasks and projects as required, showcasing resourcefulness and adaptability
Schedule events with key stakeholders efficiently and smoothly
During the initial phase of this role, the successful candidate may provide temporary on-site logistics and administrative support while the company recruits a dedicated full-time facilities professional. Responsibilities may include coordinating the setup of temporary office trailers, arranging regular deliveries of water, beverages, and snacks, establishing janitorial services, and supporting events and hospitality for site visitors. This interim support will help ensure smooth and professional site operations until the facilities position is filled.
Minimum Qualifications:
Bachelor’s degree or equivalent experience
5-8 years proven experience as an assistant or in a similar role, with a preference for those familiar with technical environments
Serve as a calendar strategist, prioritizing and sequencing meetings to advance key objectives—not simply scheduling appointments
Strong technical proficiency with the ability to quickly adapt to new tools and software, including Google Suite, Slack, Box, Atlassian, Asana, Microsoft Office Suite, and Adobe Acrobat to make tracked changes, add redlining/comments to documents, and create PDFs
Familiarity with AI tools is a plus — and/or a willingness to learn new tools to work more efficiently
Exceptional organizational skills and attention to detail
Excellent communication skills, both verbal and written
Ability to work in a fast-paced environment, multitask, and prioritize tasks
A proactive mindset, with the ability to anticipate needs and challenges
U.S. citizenship is required for the compliance reasons outlined above
Remote; candidates located in the Eastern or Central time zones are preferred, but not required
Bonus Qualifications:
Knowledge of the nuclear power industry and isotopes is a plus but not required
Competencies
We are looking for an Administrative Operations Assistant who is:
Handles confidential and technical information with the utmost discretion, sharing it only with authorized individuals and through approved systems
Understands and respects access boundaries, approvals, data-protection standards, and export-control requirements, and escalates promptly when something is unclear
Provides steady, reliable support the department can depend on — closing loops, following through, and safeguarding the accuracy and security of information at every step
Exercises sound judgment about what may be discussed, with whom, and in what setting, protecting the confidentiality of the department, its partners, and the company
Passionate about clean energy
Passionate about making advanced fission a reality
Willing and able to learn quickly
Eager to work on a dynamic team, receive constructive feedback, and grow with us
Willing to think differently and do things in new ways
Comfortable in a fast-paced, highly iterative startup environment
Excited to think creatively, critically, and reflectively about the problems they are solving, while not leaning only on what has been done before
Willing to propose novel and creative solutions to technical problems
An excellent writer who can write in modern active voice, so make your cover letter compelling and write it well!
Able to communicate technical content and results verbally
Who you are:
A startup person: You aren't driven by titles or hierarchy, and prefer efficiency to excess process. You don't need or expect to have a lot of guidance but you enjoy working in a fast-paced team. If you prefer the culture and feel of a large organization, that is great, but you likely won’t enjoy working with us! There is plenty of important work and plenty of good opportunities with organizations like that.
Motivated: You are self-motivated. You bring an enthusiasm to the team, and imbue a sense of passion that goes beyond clocking in and clocking out. This isn’t about a fake or arbitrary “pieces of flair” mentality or lack of work-life balance! It is about being a part of the vision and feeling a part of reaching team goals.
A team-player: Oklo genuinely is a team. We aren’t about taking credit for ourselves, and we aren’t about pushing blame to others. We do incredible things because we work as a team.
An excellent communicator: We need a person who is not only technically competent but also a clear and upbeat communicator.
Creative: Being creative means that when things fall outside clear scopes or processes or problems arise without clear solutions, you are able to identify it as well as invent ways to solve a problem or fill a need without micromanagement. The successful person in this job will not only be creative, but also enjoy being creative and solving open-ended problems which may change day-by-day.
Detail-oriented: This focus is a big part of excellence, consistency, and quality. Excellent grammar and spelling matter for both good communication as well as the image of the company that we put forward.
