Role Summary

The Administrative Assistant supports the effective day-to-day operation of the NLG Capital New York office, serving as the primary point of contact for reception and a range of office management and administrative activities. This role creates a welcoming, professional office environment for associates, visitors, and external partners while independently managing assigned office support responsibilities.

The role coordinates reception, office supplies and inventory, vendors and facilities needs, meeting and event logistics, mail and deliveries, and onboarding-related office support. As the primary administrative support presence in the office, the Administrative Assistant works closely with NLG Capital associates and internal and external partners to anticipate routine office needs, resolve day-to-day issues, and help ensure the office operates smoothly and efficiently. The role also provides occasional administrative support to senior executives as business needs arise.

This position currently offers an onsite work schedule, with the expectation that you will be in the office four (4) days per week during onsite core days.  Our current onsite core days are Monday, Tuesday, Wednesday, and Thursday.  The work schedule type and core days are subject to change with advance notification and manager discretion.

Essential Duties and Responsibilities

Serve as the primary point of contact for the NLG Capital New York office, greeting visitors and providing a welcoming and professional experience for associates, guests, and external partners.

Own day-to-day reception and office operations, proactively identifying needs and resolving routine office issues to support a well-organized and effective workplace.

Coordinate office facilities needs and service requests, working with building management, internal partners, and external vendors as appropriate.

Manage office supplies, inventory, and other workplace resources, including monitoring needs, placing orders, and maintaining appropriate stock levels.

Coordinate office-related purchasing, invoices, expense processing, and vendor payments in accordance with established processes and procedures.

Coordinate incoming and outgoing mail, packages, deliveries, and related office services.

Maintain meeting rooms and common areas and coordinate meeting logistics, including room preparation, catering, and other hospitality needs.

Coordinate logistics for office events, team activities, meetings, lunches, and other onsite functions.

Coordinate onsite onboarding logistics for new associates, including workspace readiness, building access, equipment coordination, and other first-day needs.

Build productive relationships with NLG Capital associates, internal business partners, building personnel, vendors, and other external contacts to address office needs and support effective day-to-day operations.

Provide occasional administrative support to senior executives as business needs arise.

All other duties as assigned.

Minimum Qualifications

4 or more years of relevant administrative, reception, office management, or related professional experience.

Demonstrated ability to independently coordinate day-to-day office operations, prioritize competing needs, and resolve routine administrative and workplace issues.

Strong interpersonal and customer service skills, with the ability to interact professionally and effectively with associates, senior leaders, visitors, vendors, and other internal and external partners.

Strong verbal and written communication skills.

Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.

Demonstrated discretion and sound judgment when handling sensitive or confidential information.

Ability to learn and effectively use business systems and office technology applications.

Ability to work onsite Monday through Thursday, with flexibility to be onsite on Fridays when there is a business need.

Able to pass a background check.

Preferred Qualifications

Bachelor’s degree in Business Administration or a related field.

Experience supporting office operations, reception, or workplace services in a professional corporate environment.

Experience coordinating with facilities, building management, vendors, and other external service providers.

Experience coordinating meetings, office events, catering, and employee or visitor hospitality.

Experience with office-related purchasing, invoice processing, expense management, or vendor payments.

Proficiency with Microsoft 365 and experience with other business applications such as Concur, Salesforce, or similar systems.

Base Pay Range.  The base pay range for this position is the range National Life reasonably and in good faith expects to pay for the position taking into account the wide variety of factors, including: prior experience and job-related knowledge; education, training and certificates; current business needs; and market factors.  The final salary or hourly wages offered may be outside of this range based on other reasons and individual circumstances.

Additional Compensation and Benefits. The total compensation package for this position may also include a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. The successful candidate may also be eligible to participate in National Life’s discretionary annual incentive programs, subject to the rules governing such programs. If hired, the employee will be in an "at-will position" and National Life reserves the right to modify base salary (as well as any other discretionary payment or compensation or benefit program) at any time, including for reasons related to individual performance, company or individual department/team performance, and market factors.
