Job Description:

Meade is seeking a friendly, organized, and reliable Administrative Assistant to serve as the welcoming face and voice of our office. This role is the first point of contact for employees, clients, and visitors, and plays a key part in keeping the office running smoothly day to day.

The ideal candidate brings a service-minded attitude, strong attention to detail, and comfort juggling front-desk duties with light office support tasks. This is a full-time, hybrid role (Mon-Wed in-office) focused on front desk coverage, office upkeep, and day-to-day support - not executive or high-level administrative support.

Job Duties:

Front Desk & Visitor Experience

Serve as the primary point of contact at the front desk, greeting visitors, employees, and clients warmly and professionally.

Answer, screen, and route incoming phone calls.

Sign in guests, issue visitor badges, and notify employees of arrivals.

Receive, sort, and distribute incoming mail and packages.

Office Upkeep

Keep the office organized, stocked, and presentable.

Manage office supplies, snacks, and beverages, and place restock orders as needed.

Ensure conference rooms, kitchens, and common areas are clean, organized, and meeting-ready.

Meeting & Light Administrative Support

Support basic meeting logistics, such as room set-up and tidy-up.

Schedule and coordinate “Lunch & Learns” for Engineering continuing education credits.

Assist with light administrative tasks and special projects as time allows.

Order monthly “Office Treat” and “Office Meal” day via ezcater.

Provide occasional overflow support to the office administration team.

Regularly perform administrative duties for leadership and various departments as assigned.

Qualifications:

Prior experience in a receptionist, front-desk, or customer-facing role preferred.

Strong organizational skills and the ability to manage multiple small tasks throughout the day.

Excellent verbal and written communication skills, with a professional and friendly demeanor.

Proficiency in Microsoft Office (Outlook, Word) and comfort learning simple office systems.

Ability to maintain confidentiality and handle sensitive information with discretion.

Reliable, punctual, and comfortable working independently at the front desk.

Physical Demands:

This is a primarily sedentary role with occasional standing, walking, bending, and lifting of office materials up to 20 pounds.

Compensation & Benefits:

This is an in-office position located in Austin, TX. Compensation and benefits are subject to eligibility requirements and may vary based on location and applicable laws. The pay range for this position will be provided in accordance with applicable state and local laws. Actual compensation will be determined based on factors such as skills, experience, qualifications, internal equity, geographic location, and business needs.
