We are seeking a sharp, proactive, and highly seasoned Executive Assistant to serve as a true business partner to the Head of ICONIQ Studio. This role goes well beyond traditional administrative support—the ideal candidate is a strategic operator who anticipates needs, drives accountability across stakeholders, and helps keep a fast-moving leader and team on track. Responsibilities span complex calendar and inbox management, relationship and network management, meeting follow-up and execution tracking, and seamless coordination of travel, events, and special projects. Maintaining confidentiality, multitasking effectively, demonstrating exceptional attention to detail, and exhibiting a strong work ethic are imperative for success. A passion for excellence and a no-task-too-big-or-too-small mindset are essential.

What You'll Do:

Serve as a true business partner to the Head of Studio, ensuring seamless flow of day-to-day activities and anticipating needs before they arise

Own and proactively manage a complex, high-volume calendar across multiple time zones, balancing competing priorities with sound judgment

Manage and prioritize a busy email inbox, drafting responses, flagging what matters, and triaging on behalf of the executive

Drive relationship management by tracking and strategically planning engagement with internal stakeholders, external partners, and the broader ICONIQ community

Capture follow-ups, action items, and key takeaways from meetings; proactively chase deliverables across stakeholders to keep workstreams on track

Proactively capture, enter, and maintain meeting notes, contacts, and other relevant data in Salesforce and other systems to support an institutionalized process

Seamlessly coordinate domestic and international travel logistics, meals, vendors, and lodging

Proactively and strategically coordinate internal and external meetings, team events, and meeting materials

Continually create and improve systems and processes around team functionality and operating cadence

Send and track gifts, mailings, and other touchpoints

Manage and process monthly expense reports with accuracy and timeliness

Provide additional administrative and special project support as needed, including building rapport across the Studio team and partnering closely with colleagues across ICONIQ

Demonstrate timely responsiveness outside of “regular” business hours when needed

Ideal Candidate Background:

5+ years of experience in an executive support role, ideally supporting a senior leader within Venture Capital, Private Equity, Private Wealth Management, Management Consulting, Investment Banking, or a similarly fast-paced, professional services environment

Track record of operating as a true business partner—not just an executor—with the maturity and judgment to represent a senior leader internally and externally

Exceptional proactivity, ownership, and follow-through; takes pride in keeping people, projects, and commitments on track

Exceptional communication skills, unwavering integrity, and the confidence to engage with all levels of the firm and external stakeholders

Location: Applicants are expected to work onsite in our San Francisco and Palo Alto offices in accordance with our hybrid working policy. Time will be split between both office locations.

Compensation Range: ICONIQ is required by law to include a reasonable estimate of the salary range for this role, together with other compensation being offered such as a discretionary bonus, health insurance, and other perks. There are several factors taken into consideration in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. At ICONIQ, we apply a total reward philosophy where all aspects of compensation and benefits are taken into consideration in determining compensation terms. A reasonable estimate of the current pay range is $57.69 to $62.50 an hour, overtime eligible; $120,000 - $130,000 annualized, based on a standard 40-hour workweek for 52 weeks.
